Company Picnic Invitations: What to Send, Say, and Track
Video transcript
A company picnic invitation tells the team where, when, who is welcome, and how to respond.
Start with date, time, exact place, who is invited, and how to respond. Add food details, a map link, parking notes, and an end time.
A digital invitation reaches office and remote staff on the same day. It updates when plans change and collects responses without chasing replies. A printed card cannot carry corrections.
Send the first invitation three to four weeks before the picnic. Remind people a week out and again two days before. Set a reply deadline at least a week ahead for catering.
Each confirmed response becomes a plate, chair, parking spot, and name tag. Ask only for name, yes or no, number of guests, and dietary needs. Watch the gap between invited and answered.
Say plainly whether partners and children are welcome. Ask each guest to add themselves to the reply form. If you need a limit, give one clearly and kindly.
The full details are in the article.
