Video transcript

A meeting invitation by email works best when it shares the date, time, place, and purpose in one clear message.

Put the purpose first, so readers see why the meeting matters before the logistics. Then list the title, date, times, and place near the top of the email.

Attendees in other cities read the same clock differently. Write two o'clock Central European Time, not only two o'clock, and check the hour before you send.

Inboxes show only a few words, so the subject does most of the work. Avoid all-caps words and exclamation marks in the subject, since they make a work invitation look like an advertisement.

A clear deadline tells you who is coming before you book the room or order catering. Keep one list of confirmed, declined, and unsure attendees in a shared sheet.

An agenda with three to five points helps people decide how much time to block. Send the invitation several days ahead, then one reminder the day before the meeting.
