How to Write an Email Invitation for a Meeting, Step by Step
Video transcript
An email invitation for a meeting is a short message that tells people what the meeting is about, when and where it happens, and how to reply.
Your subject line is the first thing a busy reader sees. Keep it short, and put the meeting name and date at the front.
Put the date, start time, location or video link, and purpose near the top. Readers often scan the first few lines and decide from there.
A short agenda tells attendees what to prepare and how long each topic will take. Three to five points are enough for most meetings.
Ask for one clear response by a set date, using a simple yes, no, or maybe. If you invite many people, RSVP tracking shows who has replied.
Send a reminder one or two days before the meeting, to people who have not replied. Repeat the date, time, and link, and nothing else, since long messages get cut off on phones.
If you want a more polished look, you can prepare an animated digital invitation with a map and countdown on our website.
